Cancellation/Withdrawal

Subject to our cancellation policy, there is a need to protect the staging of these events and the resultant costs incurred by the event organiser. Before any entries are accepted, events start to incur costs which place the organiser at risk. The organiser is forced to recoup costs to ensure the event’s ongoing success. Failure to do so has predictable results. From the moment you enter one of these events further costs are created. It may be possible to obtain some reimbursement although you must refer to our refunds section below where refunds are staged depending on the length of time before the event. Directly before an event your entry fee has already been spent or committed to suppliers. If uncontrolled then these events would collapse financially. The organiser reserves the right to cancel the event if participant numbers are too low to make the event viable.

Withdrawals/Transfers/Substitutions/Refunds

Withdrawal:

If you have to withdraw from an event you can do so by informing us in writing (letter or email). The date of receipt of this written withdrawal will dictate whether a partial refund is given. Withdrawals cannot be accepted by telephone.

Transfer of race entry to next year/another race:

At this stage, this may be possible and requests to do so must be mailed to the event organiser for a case by case adjudication based on the time remaining before the event, the date you originally enrolled for the event and various other factors.

There is no guarantee this will be possible as this effectively constitutes a free entry into another event. Your entry fee to the departing event has been committed as the event draws nearer. Almost all the money received for staging an event is invested into the event.

Similarly, if you had a ticket for a concert or a holiday flight would you seek a transfer to another concert/flight without penalties if you could not or simply decided not to go?

Elect a Substitute to take the place of the applicant:

At this stage, this may be possible and requests to do so must be mailed to the event organiser for a case by case adjudication based on the time remaining before the event, the date you originally enrolled for the event and various other factors. There is no guarantee this will be possible as this can cause huge problems if entries are changed around.

The event organiser is charged to hold accurate information on everyone who is competing in an event and substituting entrants tends to be disruptive to data handling and storage. There could be an unanticipated knock-on effect in the race, prize giving, results etc. Most importantly this could invalidate any insurance which is in place to protect you. 

Refunds Policy:

  1. A participant may give notice of withdrawal from an event at any time. If you have to withdraw from an event you can do so by informing us in writing (letter or email). The date of receipt of this written withdrawal will dictate whether a partial refund is given. Withdrawals will not be accepted by telephone.
  2. For clarification, the day before an event is counted as day 0 (ZERO) as practically a whole 24 hour period cannot expire before the planned commencement of the event.
  3. If a participant withdraws from an event with 60 or more whole days remaining until the event a 75% refund will be given.
  4. If a participant withdraws from an event with more than 30 whole days but less than 60 days remaining until the event then a 25% refund will be given.
  5. If a participant withdraws from an event with less than 30 whole days remaining until the event then no refund will be given.

In the event of the Event Organiser changing the date of an event and the participant is unable to attend; the participant has 21 days from the date of announcement to inform the Event Organiser in writing in order to receive a refund of their entry fee.
